The Data We Collect and How It Is Collected
When individuals or organizations become members or suppliers of The Cambridge Jungian Circle, they are required to complete an online application form providing the following details:

Name

Postal address

Telephone number
This data is transferred to the Charity’s Accounting Software (QuickBooks Online) by the Treasurer. It is updated during annual membership renewals or as new information becomes available, such as a change in email or residential address.
Mailchimp Contact Database
Names and email addresses of members are entered into a Mailchimp contact database by the Treasurer to facilitate the delivery of newsletters. Website users may also join this database.

How the Data Is Stored and Who Has Access

QuickBooks Online

Only the Chair, Treasurer, Secretary, and Events Secretary have access to member data stored in QuickBooks Online, operated by Intuit.

The website is hosted by Wix, which may collect data such as IP addresses, login details, and personal information (e.g., names, email addresses).

Personal information is used strictly for operational purposes, including customer support, service-related notifications, and compliance with applicable laws.

The Chair and Treasurer manage the mailing list database.

Subscribers can opt-out via an “Unsubscribe” link included in all newsletters.

Sharing the Data

The complete data set is shared only among officers of The Cambridge Jungian Circle (Chair, Treasurer, Secretary, and Events Secretary).

Personal data is never shared with third parties unless legally required.

Occasionally, individual member data may be shared with another member, e.g., to coordinate event transportation, but only with the explicit consent of the individuals involved.

Purposes for Which the Data Are Used

Member data is used to manage memberships, facilitate communications, and ensure the smooth operation of events and activities.

Data may also be shared internally, with consent, for logistical purposes such as event coordination.

Data is not shared externally unless legally mandated.

Data Removal and Archiving

Members who do not renew their membership remain on the database unless they request removal.

Data is removed from the website, mailing list, and accounting systems upon request or when members unsubscribe via the newsletter.
